Tips for securely transferring digital email lists

You don’t have to look very hard to find articles on the importance of information security. Any web search will return numerous results, including the hardships and pitfalls of using email as a transit method for private information such as client records. Email has to travel across many networks, through many routers. Each of these routers provides a potential weak spot where a hacker can access and eavesdrop on your message and attached content.

Adding passwords directly to your document can be a helpful start, however, this still leaves some remaining issues:

  • Most standard programs, such as Excel, can be easily hacked
  • You need to securely transfer the password to the receiving party
  • Email has bandwidth issues, creating performance issues or preventing sending large files altogether
  • More powerful encryption programs require additional costs, knowledge and integration with both sending and receiving parties

To help combat this, we have a useful, secure web based form for transferring files directly to our servers. The benefits of the form include:

  • FTP upload, providing a much faster method for transferring files of all sizes
  • Secure web form protected by SSL encryption
  • Direct placement on Decipher’s servers, only accessible by staff via a secure and password protected connection
  • Email notification to the specified recipient, free of any attachment or user data

In many instances, the files actually remain on our server and are never downloaded by staff; creating the most efficient and safest method for sending sensitive client information, such as client email lists or contact information. Moreover, we have upload forms specific to Europe and Korea that adhere to International guidelines on data transfer.

To find out more about our file transfer form, including step by step instructions, visit our knowledge base page or contact your Account Manager.
